Bookings for FREE events
- Bookings may only be made by filling in the online booking form.
- Please ensure your booking contains all the information requested.
- Places are normally restricted to two per organisation for free events.
- Upon submitting your booking, you will receive an automated response confirming your place
- Online joining instructions will be emailed a week before an event.
Cancellations and substitutions
- If you are unable to attend the event, please let us know as soon as possible so that we can offer your place to someone on the waiting list. Substitutions are fine but please let us know.
- Cancellations made less than 24 hours in advance of the event may be subject to a cancellation fee of £10 to £25 per person depending on the session.
- You will not be able to book onto future events if you have outstanding charges for non-attendance to pay.
Bookings for PAID COURSES
Payment can be made by:
- Via Eventbrite when applicable, however there will be a non-refundable booking fee made by Eventbrite.
- Via an invoice with payment via cheque or BACS.
- Cash on the day
A minimum payment must be made before any accredited course starts to confirm a place and cover the registration fee.
Cancellations and substitutions
- If you are unable to attend the training event, please let us know as soon as possible.
- Cancellation costs are per our full Terms and Conditions.
- Late or non-payment will jeopardise future bookings.
- You will not be able to book onto future events if you have outstanding charges for non-attendance to pay.
All Free events, Paid events and Training courses will only take place where there are sufficient numbers to do so and we will endeavour to give notice 72 hours before the start. However, there may be occasions when we have to cancel or postpone at 24 hours notice. We will fully refund any payment made to Volunteer Cornwall, however, our apologies that we are not able to refund booking fee charges on Eventbrite but will instead offer a discount on a future course booked with us.
Full Terms and Conditions
1. Payment terms
Our standard payment terms ask for payment once your booking request has been accepted and on receiving this an invoice is generated which you have 15 days to pay or prior to the commencement of the course date, whichever is the sooner. Please contact us to discuss any concerns regarding payment.
2. Course bookings
Bookings may be made by email, letter or phone or Eventbrite (when applicable). Telephone bookings must be confirmed in writing upon request. Please quote purchase order numbers where applicable. Please note that whilst we do our best to accommodate all reasonable requests, filling in this booking form does not automatically guarantee a place on a course.
3. Transfers
Should circumstances mean that you have to transfer to another Volunteer Cornwall course, the following charges will apply, dependent on the notice given:
- First transfer, made more than four weeks prior to the course start date – no charge
- Two to four weeks notice given – 10% of the course fee
- Less than one week notice given – 30% of the course fee
All transfers must be taken within a period of six months from the original course date, however, we will consider all reasons for an extension to this time frame.
4. Cancellations
Volunteer Cornwall may have to cancel or postpone any course which does not have sufficient student numbers to run – either in terms of financial viability or for required group size.
Cancellation by the learner:
Should circumstances mean that you have to cancel your course and are unable to transfer your booking to another date at the time of cancellation, the following charges may be applied for a qualification-based course with an Awarding Body:
- More than four weeks prior to the course start date – no charge
- Two to four weeks prior to the course – 10% of the course fee
- Less than a week prior to the course – 50% of course fee
NB Cancellation must be made in writing and received by Volunteer Cornwall by the due date. We will consider all reasons for late cancellation fees.
5. Non-attendance
If you do not attend a course, and you have not previously informed us, the full course fee remains payable.
6. Late arrivals/missed sessions
If you arrive late for a course or are absent from any session, we reserve the right to refuse to accept you for training if we feel that you will gain insufficient knowledge or skill in the time remaining. In such cases, the full course fee remains payable. Most accredited courses have a mandatory minimum contact time.
7. Unforeseen circumstances
On occasion, unforeseen circumstances may require us to cancel or postpone a course. In such circumstances you will be given as much notice as possible and either a free transfer to another course or a full refund of fees will be paid.
8. Guidelines for organisations funding employee/volunteer training
Volunteer Cornwall would welcome, in advance, notification of any assistance that learners are likely to need during the running of the course. If the learner requires additional training or coaching support over and above that provided on the course this may be charged for at the appropriate rate (unless previously agreed).
9. Data Protection Act 1998 and GDPR update**
Under the Data Protection Act, we need your consent to hold and share the information you have given us on this form. We will keep your information secure and will not share it with any third party outside of any contractual arrangements such as course registration with the Awarding Body. However, with your consent the information you provide on this form may be shared with relevant funders and organisations who may be able to support your learning (as appropriate and relevant). You have the right to see this information at any time and it will not be passed on to anyone without your permission unless there is a legal requirement to do so. You will also have the right to be forgotten with the exception of contractual agreements such as with ESF programmes or to register your qualification. 10. Volunteer Cornwall Academy
You will be automatically enrolled in the VC Academy on completion of your training with us. If you would prefer to not be enrolled please let your trainer know on the day.
