Training & Development Privacy Statement

We take your privacy seriously and are committed to protecting your personal information. We aim to be clear and open about our data and security practices.

Volunteer Cornwall is registered in England as a charitable company limited by guarantee. Registered Charity No. 1069957 VAT No. 643 5247 41 Company No. 3562830. We are the ‘controller’ of your personal information for the purposes of supplying and delivering training activities.

Where we ask you to provide us with any information by which you can be identified, you can be assured that it will only be used in accordance with this privacy statement, and in line with the General Data Protection Regulation (GDPR) 2018.
Please read this Statement carefully as it contains important information on who we are, how and why we collect, store, use and share your personal data, your rights in relation to your personal data, how to contact us, and how to contact supervisory authorities in the event that you would like to report a concern about the way in which we process your personal data.

What information do we collect about you?

We collect information about you when you fill in booking or expression of interest forms, complete a Learner Assessment Record, apply for funding, or otherwise contact us by phone or email or via our website enquiries to:

  • Register for a course
  • Receive an Information, Advice & Guidance session
  • Sign up on funding programmes
  • Sign up for email updates
  • Contact us for enquiries about training
  • Complete occasional surveys or provide feedback
  • Register as a Hope Facilitator
  • Register as a Hope Participant

This information may include:

  • Name, role and organisation
  • Contact details including phone number, postal address and email address
  • Demographic information such as postcode and interests
  • Sensitive information regarding your health that is necessary for us to be aware of or forms part of any contractual arrangement with ESF or other funder’s paperwork
  • Interests and hobbies
  • References
  • DBS checks

How do we use your information?

We collect information about you to manage your training requirements, provide you with the services that you have registered for such as the Hope Programme®, process your registration with an Awarding Body or to fulfil any contracts that may fund your training such as through funded programmes (for example the VSF Learning Academy or CIOS Growth Fund).

We may also:

  • provide you with a certificate or other record of learning;
  • contact you directly in relation to our quality assurance processes, investigations, appeals, and complaints;
  • assess and provide reasonable adjustments in relation to your learning or assessment where requested.

 

We also use your information to help us develop training offers that you need, and where we have a lawful basis, known as a ‘legitimate interest’, and permission to contact you, we may use it to help us send you relevant and timely information about the training that we offer.

Hope Programme

We collect information to contact new facilitators for training, events and provide update information.  For participants we collate anonymised information for reporting and research purposes (with additional consent) for People in Mind, NHS and Hope CIC. 

Where do we store your information?

We store your information in secure cabinets with restricted access to our training team.

We have a secure IT system with password protected training database to record and store your information on site.

How long do we keep your information?

We do not keep your information for longer than necessary. We keep financial information for seven years due to legal audit requirements. There are additional contractual requirements if you are funded through a specific programme and you will be alerted to these when you compete paperwork. Once information is archived it will not be retrievable by staff in their normal business.

If you were registered on the ESF VCSE programme between April 2017 to March 2019 your details will be kept until 2030 due to EU contractual arrangements.

Marketing

If you have made enquires or attended one of our training courses from Volunteer Cornwall we will send you information which may be of interest to you. You have a right to stop us from contacting you for marketing purposes at any time. All our marketing emails contain unsubscribe links. You can also contact us at any time to request a change to your marketing preferences.

Access to your information

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, you can:

Keeping your information up to date

We want to make sure that any personal information we hold about you is accurate and up to date. Please contact us to correct or remove information you think is inaccurate.

Sharing your information with other organisations

Volunteer Cornwall will not sell your information to any third party. We may share your information with third parties where we have legal duty to do so or to provide you with a training service you have asked for. For example, if you wish us to refer to you another training provider.

Volunteer Cornwall will ensure there is a contract in place with such third parties (external tutors) which include obligations in relation to the confidentiality, security, and lawful processing of any personal data shared with them.

If you are undertaking a regulated qualification with an external Awarding Body we are required to share limited information (Name, Gender and DOB) to register your details and you may also have to provide evidence of your identity.

If you are registered through an externally programme to fund your training, we are required to share information with the contract manager (fund holder) as necessary (with consent).

We may have to share some details with our insurers in the event of an accident.

In the case of safeguarding we may have to share information with Cornwall Council’s Safeguarding Teams, in the event of information coming to light which we feel merits referral to the safeguarding team. We have a legal duty to report such matters, whether or not, we have your consent to do so.

We keep our privacy policy under regular review and we will place any updates on this web page. This privacy policy was last updated on 24th September 2025.

Your rights and how to contact us

Data protection regulations give you clear rights over how your data is used by us and your right to review any information held by us.

GDPR provides the following rights for individuals:

Transport Privacy Notice

Privacy Notice

Volunteer Cornwall’s Community Transport Scheme arranges transport for people who would otherwise find it difficult to access vital services, education and social activities. In order that the arrangements for transport are made and that suitable transport is provided we need to ask for, and store, information about passengers, booking organisations, and volunteer drivers and their vehicles.

Why we collect and use this information

We use this information:

 

  • to create a personal or organisational record of you on our Transport Bookings database
  • to ensure that we match suitable drivers and vehicles with passengers
  • to ensure that drivers can pick up people from the right place and that if there is any problem that we or our driver can contact the passenger
  • to ensure that volunteer drivers’ vehicles are roadworthy and legal
The lawful basis on which we use this information

We collect and use your information:

  • Because we have what is known as a ‘legitimate interest’ in holding the information in order to arrange the transport services which people have asked for. What this means is that most people asking us to arrange volunteer-led transport understand that we can only do so if we can tell the driver where they need to go, who they are picking up and give them contact information for the passenger.
  • For some types of sensitive information, we will specifically ask your consent to share that information with a volunteer driver. Information where we will specifically ask your consent to share includes:
    • Health or Medical information which is relevant to keeping you safe when you travel with one of our volunteers, for instance if the driver is likely to need to help you in and out of the car.
    • Where you are travelling to a destination that might tell us information which is sensitive, such as attending a particular type of medical appointment , or where your transport is arranged by the probation service.
Storing your information

We will store your information

  • Within our bookings system for 12 months after the date of your journey. This means that regular customers are not asked to provide the same details on multiple occasions.
  • Within our archive for 7 years for audit purposes. Once it is archived this data will not be retrievable by staff in their normal business.
Who we share your information with

We will share your information with:

 

  • Our volunteer driver (if you are a passenger, or are arranging transport for someone else)
  • Our insurers in the event of an accident.
  • Cornwall Council in the event of information coming to light which we feel merits referral to the safeguarding team. We have a legal duty to report such matters whether or not we have your consent to do so.
You also have the right to:
  • Object to processing of personal data that is likely to cause, or is causing, damage or distress.
  • Withdraw your consent to share your information at any time. We will let you know if your withdrawal of consent is likely to prevent us continuing to provide transport for example if we believe the information is necessary to ensure your safety or wellbeing.
  • Review the information we hold about you, correct anything which is incorrect or which you think is upsetting.
  • Ask us to stop any future use being made of your details. We will still have to retain a record of your previous interactions with our service but they will not be visible to front-line staff.

Your Rights

Understanding what an organisation knows about you, and having a say in what they can do with that information is important and Volunteer Cornwall wants to make sure that you can make your views clear and that as much as possible we respect your wishes. We think that for the most part we only hold the information about you that you would expect us to, and in most cases only the information that you have given us yourself in order to access a service that we offer or to participate in our activities. We only use that information for the purpose it has been given to us and we do not hold on to information longer than we need it, or use it to build a profile of you at all.

In short we don’t think that you would be surprised by what we know or why we hold it. In respect of some more sensitive things we might know about you (like medical information, or information about your sexual orientation) we will only hold this information if you have been asked to consent to us doing so.

We want it to be a straightforward process for you to understand what rights you have relating to information we hold about you, and to stand up for those rights. This page describes those rights and a simple way of asking us to do something about information that we hold. Don’t just take our word for it though, there is a lot of really helpful information available online telling you what you can do to find out what an organisation knows about you, and to limit what they can do with it.

A good starting point is the Information Commissioner’s Office [LINK] who oversees this subject on behalf of the government. At the bottom of this page is a simple form to complete if you want to know more about what information we hold about you, or have concerns about what we do with it.

What rights do you have?

What do you know about me?

This is called the Right to be Informed. If we hold data about you then you have the right to know what information we know about you, why we have that information, and what we do with it. You also have the right to understand how you can object to us having that information, or to what we do with it. This page is part of Volunteer Cornwall’s way of making sure that this right is respected.

Can I see the information itself?

Yes, this is called the Right of Access, if you wish to you can ask to see the information itself. Where we hold information about you within a database it might not be all that easy to understand but, if you want to see it we will do everything we can to make that happen and it is our job to make it understandable for you.

Can I make sure that it is accurate?

Yes, this is called the Right to Rectification. Whatever information we hold should be accurate and we try make sure that it is but sometimes things can be recorded wrongly, or people can misunderstand what they are told. If you become aware that we have inaccurate information about you, or you find this out as a result of exercising your Right of Access which we mentioned earlier then you can ask us to put it right.

Sometimes we might have information that you think is inaccurate but we think is fair. Where this is the case we will explain why we think the information is accurate and we will make sure that your opinions on the subject are noted alongside the information in question. For example if a volunteer visits you and your dog jumps up at them making them feel uncomfortable we might record that you have an “unpredictable dog”. You might well disagree with this and think that the dog is predictable. We would probably want to retain our original record but it would be right that the fact that you disagree with that information is recorded too.

If I am unhappy that you hold information about me can I ask you to ‘forget’ me?

Sometimes, this is called the Right to Erasure. If the only reason that we hold information about you is because you have given us that information and there is no other need for us to keep it then yes you can ask for us to delete the information. A lot of the time though we will have to hold on to the information is some form perhaps because you participated in an activity for which we had a contract with someone else, or because we need to be able to check a volunteer’s activities. Where we don’t feel that we are able to respect your request that we delete the information you have the right to be told why this is.

Can I limit what you do with information about me?

Sometimes, in some circumstances this is called the Right to Restrict Processing. You might want us to limit what we do with your information if you think that our records are inaccurate or that we should not have information about you at all and while we get to the bottom of that you do not want that information to be used. Similarly you might think that we have no right at all to information about you but you would like us to keep that information rather than erase it, perhaps if you are thinking about taking legal action.

Can I ask you to make information about me available to me in a way I can share with another organisation?

In theory yes, this is called the Right to Data Portability. If you wanted to transfer all the information we hold about you to someone else then you could ask us to give it to you formatted in such a way that it made another organisation’s life easier to use that information. It is difficult, given the activities that we undertake, to foresee how this might arise in practice but it is a right that you have and if it is something that you would like us to do then we are happy to talk to you about your requirements.

Can I object to you using my information at all?

Yes, this is called the Right to Object. If you tell us that you object to us having and using information about you then we must take this seriously. In some cases if you do not wish us to use information about you then we might not be able to offer you a particular service or the opportunity to participate in an activity which we organise. If you do object to us having your information we will have to review whether we have any real reason to hold on to it despite your objections but we should offer find a way of ensuring that your wishes are met as much as possible, perhaps by erasing the information from all but our archive, or by limiting what we do with that information.

Lastly, there is another set of rights to do with what is called ‘Automated Decision Making’. This deals with how you can control information about you which is used as information in computerised processes. Volunteer Cornwall isn’t really that sophisticated at the moment and we don’t use information for this sort of purpose. If that changes we will update this section.

How do I assert my rights?

We want to make it as simple as possible for you. With that in mind we have created a form for you to fill in telling us what your concerns or interests are in respect of the information that we hold about you. If you would like to assert any of the rights described above please use the form to tell us your concerns.

What will happen then?

The form will be send directly from our website to the Senior Manager who is responsible for the project or activity that you are involved in. They will then be responsible for reporting back on what information we hold, and the feasibility of doing what you ask. Our Chief Executive, Ian Jones, is the member of our Management Team responsible for our registration with the Information Commissioner’s Office and who is therefore responsible for making sure that your rights are respected. Ian will then reply to you dealing with your request.

How long will it take?

We will always write back to you within one calendar month, in most cases we should have a full response for you within that time but sometimes we might write to you to let you know that it might take longer where we hold a lot of information about you or your request is complicated. In those cases we will tell you how long it might take and we will provide a full response within three months at the most.

What if you’re not happy with our response?

If you do not think that we have acted on your concerns properly then you can ask for our response to be reviewed internally. It is also open to you to refer the matter to the Information Commissioner’s Office who can investigate your concerns and can ask us to look at what we do with your information and how we have dealt with your concerns.

Your Data

Volunteer Cornwall understands that your privacy, whether you are a volunteer or someone using our services, is very important. We know that in the course of our work we might ask you to share information with us that you do not wish other people to know and that you may have questions about what we will do with it.

As a general principle Volunteer Cornwall only uses your information for the purposes that you shared it with us.

If you sign up with us as a volunteer for a particular project we will only contact you about that project unless you tell us that you are interested in other work we do.

If you use one of our services then we will not share that information with anyone else outside of the project without speaking to you about it first.

We do not use your information for any activities which are not directly connected with the work in which you are interested.

Generally Volunteer Cornwall does not hold a lot of information about anyone beyond the basics of names, addresses, contact information and dates of birth as well as information about what volunteering they do, or what services they have accessed. Of course, even this sort of information should be kept secure and accurate. All information that people share with Volunteer Cornwall is held securely on password protected systems and is only accessible by the staff members who have a genuine reason to see it.

We regularly work with other organisations and the arrangements that we have with them mean that we need to share information. Where this is the case we will tell you about it and there are links below to particular areas of our work where this occurs.

Although we think that we deal with your information fairly it does not necessarily mean that you will always agree. It is your right to ask us what information we keep about you and to check that it is accurate. Where we only hold information about you with your consent then you can also ask us to delete that information, or to make it hidden from staff other than for audit purposes.
